Recruiters: How to Add a New Student on ApplyBoard | Assist

We know you need to manage many students at once. The ApplyBoard platform makes it easy to create new student profiles, so you can start the application journey right away.

Before you create a profile you will need the student's:

  • Personal contact information
  • Complete education history
  • English test scores (if any)
  • GRE or GMAT scores (if any)
  • Visa history

Create a New Student Profile

  1. To create a new student profile, select "Add new student" in the top right of the home page, or the Students page.
  2. Enter the student's contact information - their personal email address and phone number.
    • Make sure you enter the student's email address correctly.

 Note: It's important to enter the student's personal email address so they receive all required application and enrollment information.

  1. Next, fill out the student's personal information - their name, birthdate, citizenship, and gender.
  2. As part of your lead management process, you can also add a student's lead status, referral source, country of interest, and services of interest.
  3. You'll need to confirm that you've received written consent from the student or the student's guardian to share their personal information with ApplyBoard and its partner institutions before creating a student profile. Check the confirmation box and select "Add student".

Complete a New Student Profile

There are two ways to complete the student's profile. Follow these guidelines below to complete the student's profile and prepare to begin submitting applications!

Smart Profile

Smart Profile allows you to simply upload documents to the vault, where the information will then be automatically extracted and used to fill out the corresponding information in the student's profile. Follow below to quickly and efficiently complete your student's profile using the Smart Profile.

 Note: Ensure that the correct student's documents are being uploaded to the profile, and review all the information added to the student's profile.

For those who prefer to add information to the student's profile manually, you can follow the below process.

Personal Information

  1. To complete a new student profile, navigate to the Profile tab.
  2. You can complete the Personal Information section manually, or you can upload the student's passport to auto-complete this section.

  1. Check that the student's name, date of birth, first language, country of citizenship, passport number, passport expiry, marital status, and gender match their passport.
  2. Next, under Address Details, enter the student's address, city or town, country, province or state, postal or zip code, email address, and phone number.

 Remember: The email address must be the student's personal email - schools use this to contact the student directly.

Education Summary

  1. Then fill out the Education Summary section. Enter the student's most recent education.
    • If the applicant is still in school, uncheck the box that says "Graduated from most recent school".
  2. Under Schools Attended, click Add Attended School.
  3. Enter details for all previous schools the student has attended, even unfinished programs.
    • Start with the most recent school attended.

 Note: For most students, you need to enter both Grade 12 and Grade 10 school details.

  1. Remember to click Save after entering each school's details.
  2. Next, under Test Scores and Additional Qualifications, enter the student's English test, GRE, or GMAT scores, if applicable.
    • If the student has not taken an English test, choose "I don't have this."

Background Information

  1. Then, complete the Background Information section. Click "Yes" if the student has previously been refused a visa from any of the listed countries. Otherwise, choose "No".
    • If you selected "Yes", provide details in the box below.
    • If the applicant already has study permits or a study visa, choose them from the list. Otherwise, choose "I don't have this."
  2. If you have already uploaded the student's passport using the "Autofill with Passport" feature, the student's passport will automatically be added to any applications associated with the student profile - so there is no need to upload it again.
    • If you have not uploaded the student's passport, upload a clear and readable scanned image of the student's passport. Make sure the signature page is showing. Click "Save".

Final Steps

Once you have fully completed a student's profile, the tracking bar will be green and the page will read "Profile Complete!" You can return to the student profile to update sections later, but save your work first.

 Note: Please enter all information correctly. All fields in the Student Profile will be sent to schools upon application submission.

Remember to review the student's profile to ensure that the information you have entered is accurate.

Frequently Asked Questions (FAQs)

Will any students that I add (manually) be notified that I am working with ApplyBoard?

No, the student won't be informed that you are working with ApplyBoard unless you notify them or they try to create an account/ log in directly on ApplyBoard. This does not apply to the Student Access Portal, as the student will be prompted to create an account as part of the registration process.
