Why Am I Seeing a Warning on a Student's Email Address?

Why the Warning Appears

ApplyBoard uses a tool to check if an email address is real. This tool checks if the email account exists (for example, on Gmail) and if it can receive messages.

This tool is not perfect. Sometimes, it cannot verify an email address even if it is real. When the tool is unsure, it shows you a warning.

What to Do When You See a Warning

When you see a warning, you can still proceed. ApplyBoard will allow you to submit the profile or application even if there is a warning.

However, if you see this warning, please do the following:

  • Check for spelling mistakes: Ensure there are no typos in the address.
  • Check the inbox: Ask the student to verify that their inbox is not full.
  • Send a test email: Try sending an email to the student yourself. If they receive it and reply, you know the address works and you can ignore the warning.

Why a Student's Real Email is Important

Providing a student’s direct and active email address is a mandatory requirement for maintaining application integrity. Many partner institutions utilize direct email to transmit time-sensitive documents, portal credentials, and enrollment confirmations. An inaccessible or invalid email address prevents the school from reaching the applicant, which frequently leads to unnecessary processing delays or the rejection of the application.

 Australian Compliance: Please note that by law, educational institutions in Australia are required to maintain direct communication with the student throughout the admissions process.

Direct Institution Communication

Many universities and colleges require direct contact with the student to share:

  • Login Credentials: Access to student portals for placement tests, housing, and orientation.
  • Interviews: Direct invites for mandatory admission or credibility interviews.
  • Official Offers: Sending the Letter of Acceptance (LOA) directly to the applicant to comply with international admissions standards.
Visa and Legal Compliance

Immigration authorities (such as IRCC in Canada or the Home Office in the UK) expect the student to be reachable at their own contact details.

  • Using an agent’s email as the "student email" can be flagged as a red flag for misrepresentation, which could lead to visa rejections.
  • The student must have direct access to their records to verify the information being submitted on their behalf.
Transition to Enrollment

Once a student is accepted, the email address used during the application often becomes their primary identifier for:

  • Tuition Payments: Receiving receipts and invoices.
  • Health Insurance: Receiving digital insurance cards and policy details.
  • On-Campus Services: Connecting with student unions and support groups before they arrive in the country.
