Phase 1 — Getting Into the Queue

This is the starting point. Your child has set up their profile on ApplyBoard, selected a program (or a shortlist of programs), and officially created an application. The Application Journey Tracker on their account now shows the live status of the file.Backup programs are added at this stage too. The application has passed ApplyBoard's quality check and has been formally submitted to the university or college. A confirmation note appears on the application. This is a meaningful milestone — your child's file is now with the admissions team.In some cases, the submission is partial — ApplyBoard may need a student ID or portal credentials from the institution before the process is fully complete. This is handled behind the scenes and resolved without action needed from your family.

  • The Journey Tracker updates to confirm submission

Pending Admission DecisionThe institution is reviewing the file · Timelines vary
The institution is now reviewing the application. How long this takes depends on the program level, how competitive the intake is, and whether additional materials are needed — such as portfolios, a Statement of Purpose, letters of recommendation, or an interview (more common for postgraduate programs).There is no fixed timeline. Some decisions arrive in days; others take several weeks. Silence is not a bad sign — ApplyBoard is actively following up on your child's file with the institution.

Phase 3 — Offer & Acceptance

Offer ReceivedThe milestone every family is waiting for
The institution has reviewed the application and extended a formal offer. The type of offer varies by country and institution:
  • Canada — Pre-Offer (Conditional) then Letter of Acceptance (LOA): The institution first issues a Pre-Offer outlining conditions to meet (such as final grades and/or tuition deposit). Once fulfilled, a Letter of Acceptance is issued — this is the confirmed offer needed to move forward.
  • USA — Pre-Offer (Conditional) then I-20: Similar to Canada, a conditional Pre-Offer comes first. Once conditions are met, the institution issues an I-20 form — the official document required to apply for a US student visa.
  • UK - Conditional or Unconditional Offer, then CAS: The institution first issues either a conditional or unconditional offer. Once your child has met all outstanding requirements and accepted their place, the university issues a CAS (Confirmation of Acceptance for Studies) letter and number — this is what they use to apply for their Student visa.
  • Ireland — Letter of Acceptance The institution first issues either a conditional or unconditional offer. Once your child has met all outstanding requirements and accepted their place, the university issues a CAS (Confirmation of Acceptance for Studies) number — this is what they use to apply for their Student visa.
  • Australia — COE (Confirmation of Enrolment): Issued once the offer conditions are met and used for the visa application.
  • Germany — Letter of Admission: Confirms acceptance and is required for the student visa application.

With the offer confirmed and the deposit paid, your child can now apply for their student visa. This is one of the most significant steps in the entire journey — and one of the most commonly misunderstood by families.The visa is your child's personal legal responsibility. However, ApplyBoard will monitor updates and maintain communication with the institution about enrolment readiness.
  • 🇬🇧UK Student Visa: Requires the CAS number from the university. Proof of funds must cover tuition plus living costs. 100% attendance is a legal condition of the visa.
  • 🇨🇦Canada Study Permit: A GIC (Guaranteed Investment Certificate) is recommended for most applicants — funds are deposited in Canada and released to the student on arrival. Depending on the program level, a Provincial Attestation Letter (PAL) is also required.
  • 🇦🇺Australia Student Visa (Subclass 500): ApplyBoard assists with this application as required by Australian law.
  • 🇩🇪Germany Student Visa: A blocked account (Sperrkonto) containing sufficient funds is required before entry.
