Understanding when your child needs to apply is just as important as knowing where they want to study. Deadlines vary significantly by country, institution, and program — and missing one can mean waiting an entire year for the next intake. This guide breaks down how application timelines work in each of ApplyBoard's key study destinations, so you know what to expect and when to start preparing.
A Note on How Intakes Work
Most countries offer one or two main intakes per year. An intake is simply the period when a new group of students begins their studies — usually aligned with the academic calendar of that country. Your child will apply for a specific intake, and their entire application timeline — documents, offer, visa — flows from that target start date. The earlier you begin, the more options remain open.
United Kingdom
The UK academic year runs from September to June, with the main intake in September. A smaller January intake exists at some institutions, though fewer programs are available for international students at that time.
For most undergraduate programs, applications are submitted through UCAS (the UK's centralized admissions service) rather than directly to universities. Two key UCAS deadlines apply:
- Oxford and Cambridge, plus most medicine, dentistry, and veterinary programs: applications must be submitted by 15 October.
- All other undergraduate UCAS applications: the main deadline is 29 January. Applications submitted after this date are still accepted if places remain, but choices become limited.
Postgraduate programs do not use UCAS and are applied to directly through each university. Deadlines vary widely — some programs fill as early as November for a September start, while others accept applications into spring. For competitive programs, earlier is always better.
2026–2027 guidance: For a September 2026 start, UCAS applications should be submitted by January 2026 at the latest. For Oxford, Cambridge, and medicine, the October 2025 deadline will have already passed — these students would be targeting September 2027.
Canada
Canada offers two main intakes: September (Fall) and January (Winter), with some institutions also offering a May (Spring/Summer) intake. September is the largest and most widely available.
Unlike the UK, Canada does not have a centralized application system. Each institution sets its own deadlines, and these vary considerably. As a general guide:
- Applications for September entry typically open in October and have deadlines running from December through to March, depending on the institution and program.
- Applications for January entry typically have deadlines between August and October.
- Competitive programs — particularly in healthcare, engineering, and business — tend to have earlier deadlines and fill quickly.
Canadian institutions also require a Provincial Attestation Letter (PAL) in most provinces before a Study Permit can be issued. PAL availability is tied to provincial caps, which adds an additional layer of planning that families should be aware of.
2026–2027 guidance: For a September 2026 start, applications should ideally be submitted between October 2025 and February 2026, depending on the institution. January 2027 applications typically open in mid-2026.

Australia
Australia has two main intakes: February (Semester 1) and July (Semester 2). February is the larger of the two, with the broadest program availability.
Australian universities generally accept applications on a rolling basis, meaning there is no single hard deadline — but places in popular programs fill up, and earlier applications receive more processing time. As a guide:
- Applications for February entry are typically submitted between June and November of the preceding year.
- Applications for July entry are typically submitted between January and April.
Australia is also notable for requiring a Confirmation of Enrolment (CoE) before the Student visa (Subclass 500) can be applied for, which adds processing time after the offer is received. Building this into the timeline is important.
2026–2027 guidance: For a February 2027 start, applications should be submitted by mid-to-late 2026. For a July 2026 start, applications should be in by March or April 2026 at the latest.
United States
The US academic year begins in August or September (Fall), with a smaller January (Spring) intake available at many institutions.
US universities do not use a centralized application system. Each institution sets its own deadlines, and these can differ significantly between universities and between undergraduate and graduate programs:
- Early Decision / Early Action deadlines for undergraduate programs typically fall in October or November, with decisions returned by December.
- Regular Decision deadlines typically fall between January and March, with decisions by April.
- Graduate programs vary widely — some have rolling admissions, others have fixed deadlines as early as December for a Fall start.
International students also need additional processing time for the I-20 form (issued by the university after acceptance) and the subsequent F-1 student visa application, which can take several weeks. This needs to be factored into the timeline well before the course start date.
2026–2027 guidance: For a Fall 2026 start, Early Decision deadlines will have passed in late 2025. Regular Decision applicants should be targeting January to March 2026 deadlines, with visa processing to follow in spring.
Ireland
Ireland's main intake is September, aligned with the Irish academic year. A smaller January intake exists at some institutions and for certain postgraduate programs.
Undergraduate applications for Irish universities are submitted through the CAO (Central Applications Office), similar in function to the UK's UCAS system. The standard CAO deadline for most applicants is 1 February, with a late application option available until 1 May (subject to a late fee and reduced choices). However, international students applying through ApplyBoard apply directly to institutions rather than through the CAO.
Postgraduate programs are applied to directly and deadlines vary by institution and program. Popular courses can fill from January onwards for a September start.
2026–2027 guidance: For a September 2026 start, international students should aim to have applications submitted by January to March 2026. Postgraduate applicants to competitive programs should target as early as possible — some programs close in spring.
Germany
Germany offers two intakes: Winter Semester (October) and Summer Semester (April). The Winter Semester is the main intake and has significantly more program availability for international students, particularly for English-taught programs.
Application deadlines for German universities vary by institution.
- Winter Semester (October) deadlines generally fall between 15 January and 15 July, depending on the university and program.
- Summer Semester (April) deadlines generally fall between 15 June and 15 January of the preceding year.
Germany also requires international students to hold a blocked account (Sperrkonto) containing a set amount of funds before a student visa can be issued. Opening this account takes time and should be started well in advance of the visa application, not after.
2026–2027 guidance: For a Winter Semester starting October 2026, applications should be submitted by mid-2026 at the latest — and earlier for competitive programs. Blocked account setup should begin as soon as an offer is received.
The Key Takeaway for Families
Deadlines are not the finish line — they are the point by which your child's application needs to already be in good shape. Documents need to be gathered, profiles need to be complete, and finances need to be understood before those dates arrive. A useful rule of thumb: whatever deadline your child is targeting, begin preparing at least three to six months before it.
If your child is applying through ApplyBoard, the platform will flag what's required and when — but staying ahead of the timeline is always the better position to be in.
